This policy explains how MAYTRICS LIMITED collects and uses personal information when you visit www.maytrics.co.uk, contact us or use our electrical services. It covers customers, prospective customers, landlords, tenants and business contacts. It does not cover employment or recruitment records.

- Postal address: 37 Beechnut Drive, Blackwater, Camberley, Surrey, GU17 0DJ

2. Information we collect
Depending on your enquiry or the work involved, we collect your name, contact details, billing and installation addresses, information about the work you require, appointment preferences and correspondence. We also keep quotations, job notes, invoices, payment status, inspection results, electrical certificates and relevant warranty or complaint records.
Photographs and videos you provide, or that we take to assess and document work, may contain personal information. Please avoid including people, private documents or unrelated belongings where possible. We only need access instructions relevant to the appointment.
Our website and hosting services may process technical information such as IP addresses, browser details and security logs. Section 8 explains the cookies and website services we use.
3. Where information comes from
We receive information from you through our website, telephone, email, messages, social media and visits. We may also receive relevant details from a landlord, letting agent, main contractor, person arranging work on your behalf, or an enquiry or review platform you use. If someone gives us your details, we use them only for the relevant purpose and provide privacy information when required.
4. Why we use information
We use different legal grounds depending on the purpose:
- Enquiries, quotations and work: we use relevant information to take steps at your request before entering a contract, and to fulfil our contract with you. This includes arranging visits, carrying out work, handling payments and providing agreed aftercare. For tenants and contacts of business customers who are not personally parties to our contract, we rely on our legitimate interest in organising and delivering the requested work.
- Legal obligations: we use and retain information where required for tax, accounting and applicable statutory notifications or disclosures.
- Legitimate interests: we use proportionate information to manage our business, document inspections and work, maintain safety and quality records, respond to complaints, recover debts, handle legal claims and protect our systems. We consider your rights and expectations when relying on these interests.
- Consent: we rely on your permission for marketing where required, optional tracking that requires consent, and identifiable promotional photographs or case studies where we seek your permission. You may withdraw that permission at any time without affecting earlier lawful use.
We need sufficient contact, site and job information to provide a quotation and carry out work safely. If necessary information is not supplied, we may be unable to proceed. Optional marketing permission is not a condition of using our services.
5. Messages and marketing
We send practical communications about your enquiry or work, such as quotation follow ups, appointment updates, invoices and payment reminders. These are separate from promotional messages.
We send promotional emails, texts or WhatsApp messages to individuals only with consent, or where the "soft opt-in" for products and services applies. That exception applies only where we obtained your details directly during a sale or genuine sales enquiry, promote our own similar services, and offered a simple opt out both when collecting your details and in each marketing message. Where we rely on this exception, our data protection basis is our legitimate interest in promoting relevant services.
You can stop marketing at any time using the unsubscribe option or by contacting us. We may keep a minimal record of your preference so that you are not added back to marketing lists. Opting out does not stop essential messages about existing work or payments.
Inspection, testing or maintenance reminders that promote a new booking are treated as marketing and follow the same rules. Any promotional content within review requests is also subject to the applicable marketing rules.
6. Who receives information
We share only the information needed for the relevant purpose with people and organisations supporting our work. Depending on the job, these include:
- Authorised employees and subcontractors carrying out or organising your work.
- ServiceM8 for enquiries, quotations, scheduling, job records and invoicing; Stripe for card payment processing; and our banking, accounting and communications providers.
- Our website provider, My Local Trades, and relevant hosting, IT and security providers.
- Providers supporting enquiry follow ups, inspection and maintenance reminders, email marketing, review requests and secure document storage, where we use those services.
- NICEIC or other relevant certification and notification services, building control bodies, electricity network operators and manufacturers where required for certification, applications, commissioning or warranties.
- The landlord, agent or contractor who commissioned the work, where relevant to their role; and insurers, professional advisers, debt recovery services or authorities where necessary and lawful.
Some providers process information on our instructions; others, such as payment providers or public authorities, may have their own legal responsibilities and privacy notices. Card details entered through our payment provider are handled by that provider and are not stored by us.
7. Storage and retention
We use appropriate organisational and technical safeguards to protect personal information and restrict access to the people who need it for their work.
We keep information only for as long as it is needed:
- Enquiries and quotations that do not go ahead: up to 2 years from our last contact.
- Completed job records, photographs, inspection results and electrical certificates: for as long as they remain useful as safety, certification and warranty records for the installation.
- Invoices and financial records: 6 years from the end of the financial year they relate to, as required for tax and accounting.
- Site access details: deleted once they are no longer needed for the job.
- Marketing opt outs: kept for as long as needed to make sure we do not contact you again.
Records involved in a complaint or dispute may be kept until that matter and any applicable claim period have ended. Backups are overwritten in their normal cycle. We delete or anonymise information when it is no longer needed.
Our website is hosted on servers in the UK. Some of our service providers, such as ServiceM8 and Stripe, may store or access information outside the UK. Where this happens, we rely on UK adequacy regulations or approved contractual safeguards, such as the ICO's International Data Transfer Agreement or Addendum. Contact us if you would like more information about these safeguards.
8. Cookies and website services
Cookies and similar technologies can store or access information on your device. Our website uses:
- Strictly necessary cookies: used to keep the website secure and working properly. These cannot be switched off.
- Google reCAPTCHA: protects our contact forms from spam and abuse. Google processes information about your device and how you use the form for this purpose, under the Google Privacy Policy.
- Website statistics: our website provider measures how visitors use the site, such as which pages are viewed, so we can improve it. This information is used only by us and our website provider.
You can block or delete cookies in your browser settings. Blocking necessary cookies or reCAPTCHA may stop parts of the site, such as the contact form, from working.
Links to external sites take you to services with their own privacy notices. Using a social media or messaging service, such as WhatsApp, to contact us also involves that platform processing information under its own arrangements.
9. Your rights
Depending on the circumstances and the legal basis used, you may ask to access your personal information, correct inaccuracies, erase information, restrict its use, or receive certain information in a portable format. You may object to processing based on legitimate interests and have an absolute right to object to direct marketing. Where we rely on consent, you can withdraw it at any time.
These rights are subject to legal conditions. For example, we may need to retain some records to meet legal obligations or deal with claims. Contact us using the details in section 1. We may need to check your identity and will respond within the applicable legal time limit, normally one month. We will explain if a permitted extension or other exception applies.
10. Questions or complaints
Please contact Darren May using the details in section 1 if you have a question or concern about your information. You can also complain to the Information Commissioner's Office, the UK data protection regulator, at ico.org.uk/make-a-complaint. You do not need our permission to contact the ICO.
11. Changes to this policy
We review this policy when our services or use of information changes. The latest version will be available on our website with an updated date. Where required, we will tell you about significant changes before using information for a new purpose.
